A Small Church Texting Guide: Reach Your Congregation From Your Own Phone

Why personal texts work for small churches
In a small church, people know the pastor. A text from your own number, with their name on it, reads like the personal note it is. A message from an unfamiliar short code or a newsletter service doesn’t feel the same, even when it says the same thing.
The usual shortcut, a big group text, causes problems that matter in a church setting:
- Members’ phone numbers get shared with everyone, including newer visitors.
- Prayer updates and personal replies end up in front of the whole group.
- Constant reply-all notifications push people to mute the thread entirely.
Individual texts keep each conversation between you and one member. There’s more on why that matters in group texts are hurting your relationships.
“I had for many years sent individual texts to people as part of my ministry. This, however took quite a lot of time. Since using BCC text my time has been freed up and I am more productive. Thank you!”
How to set it up
- Start from your member list. Use the contacts already on your phone, or export your directory to a spreadsheet and import it as a CSV.
- Make a group for each ministry. In BCC Text, save groups like “Whole Congregation,” “Choir,” “Youth Parents,” or “Wednesday Small Group” so the right message reaches the right people.
- Write once, personalize automatically. Begin with
Hi {FirstName},and every member sees their own name. You can attach a photo of a flyer when sending through the Messages app. - Send from your own number. BCC Text uses Apple Shortcuts to send each message through Messages, WhatsApp, or Google Voice on your phone. Members get a normal text from you.
- Reply personally. Responses arrive in your regular one-on-one conversations, which is where pastoral follow-up belongs anyway.

When a church platform is worth it
Texting from your own phone fits many small churches, but not every church.
- A congregation small enough to text in a batch or two
- One or two leaders doing the texting
- Reminders, updates, and personal check-ins
- No budget for another monthly subscription
- Large congregations texting thousands at once
- Several staff members sending from one shared account
- Email newsletters and texts managed together
- Online giving, member databases, or check-in
What BCC Text doesn’t do
- It’s iPhone only. Members can use any phone, but the person sending needs an iPhone.
- There’s no shared inbox. Replies go to the sender’s normal one-on-one conversations.
- It isn’t a church management system or CRM. There’s no giving, attendance, or member database.
See how other congregations use it on the BCC Text for faith communities page.
